A small courtesy, at the worst possible moment

In most working relationships a gift is a gesture of goodwill. In a live procurement it can be read as an attempt to influence the result, even when nobody intends that. Whatever its value, it can put an evaluation in question and put you in a difficult position.

You sit on the evaluation committee for a warehouse racking tender. A bidder's sales manager sends a box of premium dates to your office with a note: "With our appreciation for your cooperation." What do you do?

That's right. The evaluation is still open, so this gift creates a conflict regardless of its value. Not quite. Sharing it or waiting does not change who sent it or when. The gift arrived while you are evaluating the sender's bid. After the contract is signed, the same supplier invites you to dinner. The contract renews in six months. What should you do first?

Not quite. Declining is often right, but an unrecorded offer leaves no trace if the renewal is later questioned. Signing did not end the relationship; the renewal decision is still ahead.
